Cancellation Policy


*Cancellation of a booking can be made by a client without penalty up to 12 hours prior to the class commencing.  If there is a Late Cancellation by a client (within the 12 hours prior to scheduled class time) a full class session will be deducted from your Sole Studios account.
*A minimum booking of 2 clients will be required in order for a class to proceed.  If 2 hours prior to class commencing there is less than the required 2 clients, the session will be cancelled by the trainer and you will be notified by phone/text message to arrange an alternate session to book into.  We require clients keep an eye on the schedule for the number of people booked into their session so clients are aware a class may possibly be cancelled due to low numbers.  If the class is an early morning session, you will be notified the night before

Terms and Conditions

* Intro New Client  5 class offer is available solely to new Sole Studios clients only and valid for use within 2 weeks (14 days) from date of first session booked.
*Please be on time for your sessions.   All new clients must be in the studios 5-10 minutes prior to class session time to fill in and sign a participation form and waiver which form part of the terms and conditions.  If your arrival is whilst the previous class is still continuing, please respect the clients and trainers and arrive quietly.
*All packages are non-transferable between clients and non-refundable (unless a request for a refund falls within our refund policy stipulations for medical reasons).
*Our monthly class packages are valid for use for 1 month from first booked session, you must book a session within the month from purchase date or pass will expire

*Classes require a minimum of 2 people to be booked into the class for it to proceed.  If there is only 1 person in the booking 2 hours prior to class commencing the class will be cancelled and you will be notified via phone/text message
*All bookings must be made online through our website www.solestudios.com.au or the Glofox app.
*All session must be paid for in full at time of booking either online or in the studio and the client must have an online Sole Studios or Glofox account to do so.
*Any late comers in respect for our other clients and the Trainer will not be accepted into more than 5 minutes after class has started  due to the disruption it can cause to other clients and the trainer.  Please be on time for your class as the warm up forms an integral part of every class.  Your spot may be given to another client if you have not arrived on time.
*All participants bring personal belongings to the studio under their own recognizance and it is therefore their responsibility.  Sole Studios does not assume responsibility for any lost or stolen personal property.

*Challenges will occur from time to time and will each have their own individual terms and conditions which will be stated at time of purchasing your challenge pass or contract.  You will be bound to these terms listed on Glofox at time of purchase.

 

12 WEEK  DAILY MEMBERSHIP

Run for a 12 week period and after the first 2 weeks can be terminated with 2 weeks written notice.  These contracts DO  automatically renew so we will remind you prior to renewal and you can notify us in writing if you wish to terminate the membership.  Please read these terms and conditions on your agreement in your online contract prior to purchasing.   

 

 

 

UNLIMITED PASS TERMS

*Weekly direct debits  from your nominated credit card or bank account will occur .

*Our late cancellation period applies any late cancellation within 6 hours of the session time or "no shows" will incur a full session cost fee of $15 for any unlimited class pass to be debited from the nominated credit card.

*Please make sure all credit cards/debit cards are valid including expiry dates and have enough funds for weekly debits to occur or we will pass on the penalty fee of $5 to your account.

12 Month Membership - 

This is an Unlimited Yearly Membership to Sole Studios where you are committing to 52 weekly direct debit payments from your nominated credit card. Please be aware that our standard cancellation policy applies where you will be debited a single session. With an unlimited session pass there is a $15 single session fee that will be charged for any late cancellation of your reservation or in the case of you not showing for class. To avoid being charged you must provide a medical certificate within 48 hours of the session time for which you have not attended. You can email through a copy of the certificate to mail@solestudios.com.au

You can suspend this pass for 2 weeks during the 12 months (The suspension can be a week at time or be concurrent). You must notify us in writing at least 1 week prior to the dates you wish to suspend the pass.

This contract cannot be terminated during the 12 month period without a medical certificate, any request to terminate without a medical certificate will require the full remaining cost of this contract to be paid out.

You agree to make sure you have enough funds available for the weekly debits  failing to do so on a regular basis will result in a $5 charged being applied to your account for every declined payment and an immediate suspension of your pass.

6 Month Membership - 

This is an Unlimited 6 Month Membership to Sole Studios where you are committing to 26 weekly direct debit payments  from your nominated credit card. Please be aware that our standard cancellation policy applies where you will be debited a single session. With an unlimited session pass there is a $15 single session fee that will be charged for any late cancellation of your reservation or in the case of you not showing for class. To avoid being charged you must provide a medical certificate within 48 hours of the session time for which you have not attended. You can suspend this pass for 1 week during the 6 months. You must notify us in writing at least 1 week prior to the dates you wish to suspend the pass.

Policies

Refund Policy

 

Sole Studios does not offer a refund for packages purchased unless the client is deemed to be medically unfit to participate within the expiry time frame for their purchased pack.  A supporting medical certificate provided by registered medical general practitioner registered with Medical Board of Australia must accompany any such request for a refund and refunds under these circumstances can only be requested by emailing hello@solestudios.com.au.

Sole Studios Privacy Policy

YOUR PERSONAL DETAILS (NAME, ADDRESS, EMAIL , PHONE, CREDIT CARD INFORMATION ETC..)


In order to provide all Sole Studios Clients a safe online experience we use the Glofox Online Booking System which integrates with an electronic booking system called  Stripe.  Stripe works within the Glofox interface and encodes your credit card and contact details to ensure their safe transfer and storage.  In fact we cannot view your credit card details (we only get to see the last 4 digits of your credit card number). 

 

  We respect all our clients privacy and personal information, and will never share any of your information with anyone else without your permission. We may use your email address as a form of communication with you and to inform you of any special information or announcements we may have. Should you wish to be removed from our mailing list at any time, you can opt-out of email contact by logging in to your Sole Studios Online account and unchecking your email box in your settings or alternately contact the team at Sole Studios and they can do this for you

 

YOUR MEDICAL INFORMATION


It is agreed and acknowledged that neither the instructor nor Sole Studios is able to provide any form of medical advice in regard to the medical fitness of clients. The information provided by clients is solely used as a guide to the limitations of the clients' ability to exercise. The client must answer the questions truthfully and to the best of their ability and they understand that it is their responsibility to seek further medical advice in relation to their medical condition they have prior to undertaking any classes. The client agrees to immediately update in writing the instructor and Sole Studios upon any change of their medical condition.  Medical information you share with your instructor in the context of a Pilates session is confidential and will only be shared with other instructors as relevant for your safety and well being (for example we may put a pop-up note in your profile to let all the instructors working with you know that you have a lower back injury, or that you are pregnant). These notes are not visible to the general public or other clients.

STUDENT INSTRUCTORS OBSERVING YOUR SESSION


There may at times be a student instructor observing your group session as part of their training. Student instructors are required to adhere to Sole Studios Privacy Policy (i.e. never to discuss your information with anyone except the instructor conducting your session).
 

Conditions of Entry:

To ensure that Sole Studios are able to provide a safe, healthy and pleasant environment for all, clients must comply with the following conditions and entry will be refused or a person requested to leave the studio if the person:

  1. Is abusive or uses offensive language or whose behaviour is threatening to any staff, instructor or other client of Sole Studio, or

  2. Is under the influence of drugs or alcohol.

 

The client acknowledges and agrees:

  1. Sole Studios is a non-smoking environment and no food or chewing gum is permitted in the studio.

  2. That clients must wear appropriate attire - workout attire where by no item of clothing has the potential to get caught on anything and the client can freely move

 

Damage:

 

Any client who wilfully or through their negligence damages Sole Studio property or the property of any of its clients will pay the full cost of such damage upon demand.

Safety:

Sole Studio may from time to time as reasonably necessary:

  1. Close off any part of the studio or isolate any piece of equipment for maintenance or for safety reasons;

  2. Change the hours of opening and closing or alter class times in accordance with demand; or Vary the studios rules. When this occurs Sole Studio will provide reasonable notice at the notice board at reception and on its website.                                                                             

 

To the extent permitted at law, Sole Studios excludes any liability to the clients whether by tort, statute or in any other way for any injury, damage or loss of any kind whatsoever (including without limitation, any liability for direct, indirect or special or consequential loss or damage) sustained by the client and/or any other person, or any costs, charges or expenses incurred by the client arising from or in connection with the Glofox App booking system and/or the products and services provided by Sole Studio and/or any act or mission by Sole Studio and/or Glofox.

 

Pursuant to the Australian Consumer Law and Fair Trading Act 2012 several statutory guarantees apply to the supply of certain goods and services. These guarantees mean that the supplier being Sole Studio is required to ensure that the services it supplies to the client are rendered with due care and skill and are reasonably fit for the purpose which the client either expressly or by implication make known to Sole Studio and might reasonably be expected to achieve a result that the client have made known to Sole Studio

Under Section 22 of the Australian Consumer Law and Fair Trading Act 2012 Sole Studio is entitled to ask the client to agree that these statutory guarantees not apply to the client.

By booking on the website or through the Glofox App or at the studio the client agrees and acknowledges that the client's rights to sue Sole Studio under the Australian Consumer Law and Fair Trading Act 2012 are excluded, restricted or modified in a way set out in these Terms and Conditions.

 

Any breach of these Terms and Conditions will result in a warning and any further breach will result in a second warning and cancellation of your right to participate in classes and you will not be entitled to any refund.

 

By booking a class on-line through the website or at the Glofox App or in the studio the client agrees to be bound by these Terms and Conditions as amended from time to time.

Sole Studio may from time to time review and update these Terms and Conditions including but not limited to take into account any new laws/regulations, products, services or technologies. The booking of training will be governed by the most recent Terms & Conditions posted on the website or GlofoxApp but by continuing to use the website site or Glofox App to book your training you agree to be bound by the most recent Terms and Conditions. It is your responsibility to check the website or Glofox regularly for updated versions of the Terms and Conditions each time you book on-line or Glofox App.
